How to Execute Drive-in Events with Product Sampling Sponsors

Learn guidelines and best practices on how to execute your product sampling sponsorship

General Best Practices:

  • **Very Important ensure that your employees are wearing Personal Protective Equipment including mask + gloves to keep employees + personal safe.
  • Dedicate one person from your team to be solely responsible for preparing and handing out the samples.  We recommend having this person arrive on-site at least 60min prior to passing out the first samples to attendees to prepare.
  • Distribute the samples to every person in the car. We have found that at drive-ins the best times to do this and not disrupt the traffic flow are:
    • Before or after their ticket has been scanned
    • Once they have been placed in their parking spot
  • Know prior to the first event how many boxes/cases were sent and how many items are in each box. It will be easier to count the boxes/cases rather than trying to count the number of items being distributed.
  • Create an excel document or way to track how many boxes/cases were distributed at each event. You can copy this Product Sampling Tracking Template by going to file > make a copy and use for your tracking.

Pre-Event Checklist

  • Make sure to count the number of boxes prior to the event and ensure this is entered on your tracking document
  • Make sure that the product has already been taken out of the boxes to make distribution more streamlined and ensure that you aren’t opening boxes during peak traffic periods of the event.
  • Make sure the product is stored in a safe and easily accessible location to restock 
  • *tip place product in a golf cart and have someone available that can help restock when needed)
  • Review the post-event recap questions and ensure that you capture all information, see a list of the questions below:
    • How many people attended the event?
    • How many products were distributed at the event?
    • How many products remained at the end of the event that were not distributed?
    • Please share a link to at least 5 photos you took of your team passing out the product at the event
    • Any observations that your team had about how receptive attendees were to the product?

During the Event:

  • Make sure to pass out products to each person in the car safely
  • Capture all feedback for the post-event recap including 5-10 photos evidencing distributing the samples. This should be a combination of you passing them out and attendees holding the product
  • Observe any comments or behaviors

After The Event

  • Make sure to count the number of boxes containing samples that remain at the end of the event. Any leftover product shall be passed out at the next event, if this is not possible please email events@recess.is
  • Complete the post-event recap that is emailed to you, emails are sent within 12 hours of the event ending. Delaying or not entering your post-event recap can result in disqualification from our product sampling program
    • How many people attended the event?

    • How many products remained at the end of the event that were not distributed?
    • Please share a link to at least 5 photos you took of your team passing out the product at the event
    • Any observations that your team had about how receptive attendees were to the product?
