How to Add a New Event to Your Account

This guide walks you through creating a brand-new event or experience listing within your existing Recess organizer account.

Step 1 – Log In & Start a New Experience

  1. Log in – Go to www.recess.is and sign in to your organizer account.
  2. Create a new experience – From your dashboard, select the option to add a new experience.

Step 2 – Experience Details (Page 1)

Fill in the core details about your event:

  • Title: The name of your event or experience (e.g., Coworking Happy Hour, Coachella).
  • Experience Types: How you categorize the experience for sponsors (e.g., Music Festival, 5k Run).
  • Audience Types (optional): Describe who will be attending (e.g., Sports Fans, Age 25-34).
  • Activity Types (optional): Activities attendees will engage in (e.g., Live Music, Food Vendors).

Step 3 – Availability (Page 2)

Set up when and where your event takes place:

  1. Click Add New Date
  2. Select a Timeframe
    • Ongoing: No specific end date
    • Event Dates: Defined start & end date
  3. Set Recurrence – Specify if the event repeats (annually, monthly, or not at all).
  4. Add Venues – Click Add New Venue for each location hosting this event:
    • Venue Location: Venue, Regional, or National
    • Venue Name: An easily recognizable name
    • Venue Type: The type of establishment
    • Venue Setting: Indoors, outdoors, or both
    • Available Storage: Storage facilities available to sponsors
    • Max Number of Pallets: How many pallets you can receive/store at once
    • Posting Platforms: Platforms available for sponsors to post messaging

Step 4 – Assets (Page 3)

Define how sponsors can engage with your audience:

  1. Click Add New Asset – You can add as many assets as needed.
  2. Item Distribution – Allows sponsors to ship products/materials for your team to distribute:
    • Segment Name: Name the distribution area
    • Segment Description: Describe the distribution area for sponsors
    • Services: Services your team can provide
    • Photos: Images of the distribution area
    • Hosted at these Venues: Select applicable venues and set max samples per day
  3. On-Site Activation – Allows sponsors to attend your venue and engage attendees directly:
    • Set Your Daily Pricing
    • Set Reach: Estimated attendance/handouts per day

Step 5 – Partnership & Promotion (Page 4)

  • Pitch: A brief elevator pitch about the sponsorship opportunity
  • Photos: Upload images showcasing your experience
  • Brand Partners: List any past or current brand partners
  • Exclusive Categories: Note any sponsor categories already under exclusive deals
  • Prohibited Categories: List any categories that are not permitted

Step 6 – Preview & Publish

  1. Review the Preview page – It will flag any missing required information.
  2. Address Enhancements – Optional improvements recommended to attract more brands.
  3. Publish or Save as Draft – Click Publish (upper right) when ready to go live, or Finish (lower right) to save as a draft.
